Privacy & Confidentiality Policy

This Privacy and Confidentiality Policy explains how I handle personal data and information shared during Communication Mentoring services.

I respect your privacy and aim to handle your information responsibly, transparently, and in accordance with applicable data protection laws, including the General Data Protection Regulation (GDPR), where applicable.

1. Who is responsible for your information?

Service provider: Rigon Harxhi

Email: hello@rigonharxhi.com

Rigon Harxhi is responsible for personal data processed in connection with this website and the Communication Mentoring services, unless otherwise stated.

Where I use third-party service providers to operate the website or provide services, those providers may process personal data on my behalf or, depending on the service, act as independent controllers.

2. A private and respectful space

Communication Mentoring may involve personal experiences, difficult conversations, professional situations, relationships, uncertainty, or other matters that you choose to discuss.

I treat information shared with me with care and respect.

I will not publicly identify you, publish your personal story or circumstances, disclose the content of your sessions, or use your experience as a testimonial without your explicit permission, unless disclosure is required or permitted by law.

Confidentiality cannot be guaranteed where information must or may lawfully be disclosed, including where required by law or where another lawful basis for disclosure applies.

3. Information I may collect

Depending on how you interact with me and use my services, I may collect:

  • your name and contact details;

  • booking and appointment information;

  • payment, invoicing, and transaction information;

  • correspondence and communications with you;

  • information you voluntarily share before or during a mentoring session;

  • information needed to administer a Communication Mentoring Package;

  • limited technical information necessary for the operation of the website, booking system, and online services; and

  • information needed for legal, accounting, tax, or regulatory purposes.

I aim to collect only information that is reasonably necessary for the relevant purpose.

Because mentoring conversations may involve personal matters, please avoid providing sensitive or highly personal information that is not relevant to your inquiry or mentoring session.

4. How your information is used

I may use your personal data to:

  • respond to inquiries and requests;

  • manage bookings and appointments;

  • provide Communication Mentoring services;

  • communicate with you about your booking or session;

  • administer Communication Mentoring Packages and scheduled sessions;

  • process payments and issue invoices;

  • maintain business, accounting, and administrative records;

  • comply with legal, tax, accounting, or regulatory obligations;

  • maintain the security and proper operation of the website and services; and

  • respond to and manage requests concerning your data protection rights.

I will not use your personal data for unrelated purposes unless there is an appropriate legal basis for doing so.

5. Legal bases for processing

Depending on the circumstances, I may process personal data on one or more of the following legal bases:

  • Performance of a contract: where processing is necessary to provide a service you have requested or to take steps before entering into a contract;

  • Legal obligation: where processing is necessary to comply with a legal or regulatory requirement;

  • Legitimate interests: where processing is necessary for legitimate business, administrative, security, or operational purposes and those interests are not overridden by your rights; and

  • Consent: where I have asked for and received your consent for a particular purpose.

The legal basis depends on the specific purpose for which your personal data is processed.

Where processing is based on consent, you may withdraw your consent at any time. Withdrawal of consent does not affect the lawfulness of processing carried out before withdrawal.

6. Confidentiality of Mentoring Sessions

I treat information you share during Communication Mentoring sessions as confidential.

Without your explicit permission, I will not intentionally:

  • identify you publicly as a client;

  • publish your personal story or circumstances;

  • use your experience as a testimonial;

  • publish identifiable details from your sessions; or

  • disclose the content of your sessions for unrelated purposes.

I will also not intentionally use identifiable client session content for marketing, publication, academic research, AI training, or other unrelated secondary purposes without an appropriate legal basis and, where required, your explicit consent.

In some circumstances, confidentiality cannot be maintained because law requires or permits disclosure.

7. Session notes

I aim to keep session notes to a minimum.

Where notes are made, they will be limited to information that is reasonably necessary for providing and administering the service.

I do not intend to create detailed records of every Communication Mentoring conversation.

I will securely delete or otherwise dispose of notes and other working information when they are no longer reasonably necessary, unless a longer retention period is required or permitted by law.

If you have questions about whether I take notes or how I handle them, you may contact me.

8. How long information is kept

I retain personal data only for as long as reasonably necessary for the purpose for which it was collected, unless a longer period is required or permitted by law.

Different types of information may be retained for different periods.

For example:

  • booking and contact information may be retained for as long as reasonably necessary to administer the service and maintain the client relationship;

  • session notes are intended to be retained only for as long as reasonably necessary;

  • payment, invoicing, accounting, and tax records may need to be retained for periods required by applicable law; and

  • information relevant to claims, complaints, or disputes may be retained for as long as necessary to establish, exercise, or defend legal rights.

I cannot guarantee that I will delete all personal data immediately after a service ends, because I may need to retain certain information for legal, accounting, administrative, or other legitimate purposes.

9. Third-party service providers

I use trusted third-party service providers to operate and administer my website and Communication Mentoring services.

Wix.com provides my website, hosting, booking system, and related website functions. Wix may process personal data in connection with the operation of the website, bookings, scheduling, communications, security, and related services.

Depending on the services and features used, other third-party providers may also process personal data, including providers of:

  • payment processing;

  • email and communication services;

  • online meeting services;

  • accounting and invoicing;

  • website security and maintenance; and

  • other necessary technical services.

I take reasonable steps to ensure that personal data is handled in accordance with applicable data protection requirements.

10. International Data Transfers

Because I use Wix and other technology providers, personal data may in some circumstances be processed or stored in countries outside the European Economic Area (EEA).

Where personal data is transferred outside the EEA, I will rely on an appropriate legal mechanism and safeguards as required by applicable data protection law.

11. Website, Cookies and Similar Technologies

My website is hosted and operated through Wix.

Wix and the features used on my website may use cookies and similar technologies for purposes such as website functionality, security, performance, and other technical purposes.

The cookies and similar technologies used may depend on the Wix features, booking functions, applications, integrations, and other services enabled on the website.

Where applicable law requires consent for non-essential cookies or similar technologies, an appropriate consent mechanism will be provided.

You may also be able to manage certain cookie preferences through the cookie settings or privacy tools available on the website.

12. Data Security

I take reasonable technical and organizational measures appropriate to the nature and risks of the personal data I process.

These measures are intended to help protect personal data against unauthorized access, unlawful processing, accidental loss, destruction, alteration, or disclosure.

However, no method of transmitting or storing information online can be guaranteed to be completely secure.

13. Your Data Protection Rights

Depending on the circumstances and applicable law, you may have rights including:

  • the right to access your personal data;

  • the right to have inaccurate or incomplete personal data corrected;

  • the right to request deletion of your personal data;

  • the right to request restriction of processing;

  • the right to object to certain processing;

  • the right to data portability;

  • the right to withdraw consent where processing is based on consent; and

  • the right to lodge a complaint with the relevant data protection supervisory authority.

These rights are subject to applicable legal conditions and exceptions.

To exercise a data protection right or ask a question about how your personal data is handled, please contact me using the details below.

14. Complaints

If you have a concern about how your personal data has been handled, I encourage you to contact me first so that I can try to address your concern.

You also have the right to contact the relevant data protection supervisory authority where you believe your rights have been infringed.

15. Policy Updates

I may update this Privacy & Confidentiality Policy from time to time to reflect changes to my services, website, technology, third-party providers, or applicable legal requirements.

I will publish the current version on this website, along with its update date.
